How to publish and manage a newsletter for a specific community of interest?

Overview

The Newsletter might be published in two parts: the polished PDF lives once in the Public Workspace (openable by every signed-in user), and each monthly issue is published as its own post on the dedicated “NAME Newsletters” discussion board. Comments are replies on that post, so every issue stays individually visible and carries its own discussion.

One-time setup

  1. Create the board. Go to Discussions → Create board (requires the Create custom board permission). Name it "NAME" Newsletters with a short description. It is created as a CUSTOM board, isolated from General Discussion.
  2. Add your audience as members (board → Members) and assign roles:
    • MODERATOR — CD authors / editors: publish posts, pin, lock, manage members.
    • CONTRIBUTOR — the readership you want to discuss: read, comment, upvote.
    • VIEWER — read-only stakeholders: read but not comment.
    This member list also serves as your distribution list.
  3. Create the PDF folder (once): Workspaces → Public Workspace → New folder, named NAME Newsletters. Any signed-in user can open files here; only the uploader or an administrator can delete or rename them.

Publishing each monthly issue

  1. Produce the newsletter in any tool and export to PDF. Suggested file name: NAME-Newsletter-2026-06.pdf.
  2. Upload the PDF into Public Workspace → NAME Newsletters folder.
  3. Copy the file’s link: on the PDF’s row, open the “…” menu and choose Copy link.
  4. Create the board post: Discussions → NAME Newsletters → New post. Title it consistently, e.g. NAME Newsletter — June 2026. Write a short intro, then paste the copied link as a hyperlink and invite comments.
  5. Don't paste the long URL into the body — that leaves a big, confusing, unclickable string. Instead attach the link to a few words using the editor's link button:

    1. Type the label you want people to click, e.g. Read the June 2026 issue (PDF) →
    2. Select / highlight that text (drag across it, or hold Shift and the arrow keys). The link attaches to whatever is selected.
    3. Click the link button on the toolbar — the chain-link icon (tooltip “Insert link”).
    4. In the “Enter link URL” prompt, paste the copied workspace link and click OK.
    5. The words become a clickable hyperlink. The raw URL never appears in the post.

    If you click the link button with nothing selected, nothing happens — always label first, select, then link.

  6. Pin the new issue from the post’s “…” menu so it sits at the top. Optionally unpin the previous issue, and optionally lock older issues to freeze their discussion (they stay readable).
  7. Optional: send a short “The Impulse” email linking to the new post to nudge readers to it.

Good to know

  • Contributors can also start their own posts — there is no comment-only role, so the board cannot strictly contain only official issues. A moderator can remove a stray post; pinning the official issues keeps the board orderly.
  • Comments are a single flat list under each post (no nested replies), which keeps each issue’s discussion self-contained.
